Assistant Controller

General Summary:  Performs wide variety of duties and assists and supports the Controller with general accounting activities of the Diocese and its related entities.  These duties are handled and carried out in accordance with Generally Accepted Accounting Principles in conjunction with the Accounting Principles and Reporting Practices for Churches and Church related Organizations.

Functional Responsibilities:

  1. Responsible for bi-monthly detailed review of general ledger detail for the Diocese and its related entities. Prints and reviews financial statements and special reports to be reviewed subsequently by CFO or Director of Finance.
  2. Balances third party software with general ledger to ensure accuracy of loans and deposits. Assists with preparation, review and distribution of savings statements and loan amortization schedules.
  3. Oversees annual review of Parish Annual Reports (PAR’s) as received from each of the Diocesan parishes’. Implements with the assistance of the Controller, a schedule for completion of all review tasks including designation of personnel to complete the PAR’s assigned.
  4. On a monthly basis, reviews bank account reconciliations as performed by the accounting staff. Assures accurate procedures are followed and account balances reconcile to the G/L properly.
  5. Prepares accurate monthly financial statements for all diocesan departments and related entities and distributes to the appropriate Director for review. Assists each Director with any concerns related to the financial statement.
  6. Annually assists the Controller in management and completion of IRS Form 990’s for the diocese and each related entity.
  7. Prepares various work papers and schedules needed for the annual audit process of the Diocese and its related entities.
  8. Assists the Controller in coordination and management of the overall budget process for the Diocese and its related entities. Maintains and disseminates information regarding the annual budgeting process.  Includes analysis of accounting records, review of budget submissions and preparation of various schedules for the annual Chancery operating budget and for the annual departmental budgeting process.
  9. Calculates quarterly deposits and withdrawals to/from the Diocesan pooled investment fund. Prepares journal entries related to quarterly deposits/withdrawals and earnings.  Assists with preparation, review and distribution of statement for investment pool participants.
  10. Assists Controller in maintenance, analysis and accounting of diocesan and special entity investment funds, including the processing of stock gifts.
  11. Maintains fixed asset inventory records, including depreciation schedules and inventory tagging of all equipment.
  12. Maintains spirit of helpfulness and service rapport in all interactions (Chancery staff, pastors, parish staff, departmental staff and agency staff). Assists parish staff and pastors in the interpretation and understanding of the Diocesan Parish Accounting Manual.
  13. Assists Controller with supervision of accounting staff.
  14. Serves as back up for other accounting personnel as needed.
  15. Performs other duties and special projects as assigned.

 

Qualifications:

  1. Bachelor’s degree in Accounting required.
  2. Three to five years related experience and basic understanding of generally accepted accounting principles required. Prefer experience in not-for-profit accounting and knowledge and understanding of church organization and operational procedures. Supervisory experience helpful, but not required.
  3. Strong computer and accounting software skills required, especially spreadsheet applications.
  4. Good verbal and written communication skills, including interpersonal skills, service mentality and ability to maintain confidentiality.
  5. Ability to multi-task, use creativity and work in a team environment.
  6. This position involves working 40 hours per week with occasional overtime (40-50 hours per week).
