JOB PRIMARY PURPOSE/FUNCTION

 

The Database Coordinator is responsible for the organizing, preserving, maintaining and retrieving of information in the permanent database for the Diocese.  The Database Coordinator works closely with the Finance staff with regard to the accounting software operations.

 

 

SPECIFIC DUTIES AND RESPONSIBILITIES

 

  1. Develop an understanding of the Diocesan database software program and coordinate utilization with appropriate personnel.

 

  1. Maintain Diocesan fundraising database, including additions, deletions, alterations, etc.

 

  1. Generate and analyze reports using the donor database.

 

  1. Create the acknowledgement and documentation for donor gifts in accordance with Internal Revenue Service requirements.

 

  1. Manage computer data input of pledges and payments for fund drives.

 

  1. Coordinate closely and reconcile donations with the Accountant and Accounting Coordinator for accurate parish reporting of pledges and payments received.

 

  1. Compose and prepare routine correspondence as directed.

 

  1. Organize financial records for director’s budget proposal as it relates to the database, Annual Diocesan Appeal, stewardship and development.

 

  1. Coordinate closely with the Development Director for any Capital Campaign or Annual Diocesan Appeal needs.

 

  1. Update and prepare clergy housing and compensation information for distribution to the parishes.

 

  1. Perform the accounts receivable function for invoices as needed. Monthly reconcile Accounts Receivable to the General Ledger. Contact locations for outstanding invoices.

 

  1. Perform the Accounts Payable function, post invoices and create checks to pay various Diocesan bills. Monthly reconcile Accounts Payable to the General Ledger.

 

  1. Perform the Cash Receipts function for payments made to various Diocesan departments and prepare those payments for deposit.

 

  1. Assist with internal controls in the finance department and backup when deemed necessary.

 

  1. Provide backup for posting and delivering mail.

 

  1. Perform other duties as needed or assigned.

 

 

EDUCATION, TRAINING AND EXPERIENCE

 

  1. High School Diploma.

  1. While performing the duties of this job, the employee is required to stand, walk, talk, reach, sit for prolonged periods of time, hear, handle and perform repetitive motions of the hands/wrists. The employee is required to occasionally lift and move items weighing up to 30 pounds.
